Microsoft has announced pricing updates across selected Microsoft 365 plans from 1 July 2026. For Australian businesses, the impact will depend on renewal timing, licence mix, and how subscriptions are currently used. This article outlines what is changing and what to review now to prepare for upcoming renewals with clarity and confidence.

Microsoft 365 Pricing Changes from 1 July 2026: What Australian Businesses Should Review Now

Microsoft has announced pricing and capability updates across selected Microsoft 365 commercial plans, with changes taking effect from 1 July 2026.

For many businesses, the real question isn’t just whether pricing is changing, but when those changes will affect their renewal — and whether their current licence mix still makes sense.

If your business relies on Microsoft 365 for email, collaboration, productivity apps, device management, or security, now is a good time to review your subscriptions. Planning ahead helps avoid surprises at renewal and ensures you’re only paying for licences your team needs.

What is changing?

Microsoft has confirmed that updated list pricing will apply to:

  • New customers from 1 July 2026
  • Renewing customers from 1 July 2026
  • Existing customers at their next renewal after 1 July 2026

Microsoft has also stated that this pricing update reflects continued investment across Microsoft 365, including expanded capabilities in areas such as security, AI, and IT management.

Packaging updates and new features will roll out progressively during 2026, with customers notified in advance before changes appear in their Microsoft 365 environment.

Which Microsoft 365 plans are affected?

Microsoft’s published information shows pricing changes across a range of business, enterprise, frontline, and standalone products.

Plans referenced in Microsoft’s update include:

  • Microsoft 365 Business Basic
  • Microsoft 365 Business Standard
  • Microsoft 365 E3
  • Microsoft 365 E5
  • Microsoft 365 Apps
  • Windows E3
  • Entra Plan 1

The update also applies to related commercial Microsoft products across Business, Enterprise, Frontline, Windows, EMS, and Entra plans.

Not every plan is increasing

It’s important to note that not every Microsoft 365 plan is increasing in price.

Microsoft’s published pricing tables show that some plans — including Office 365 E1 and Microsoft 365 Business Premium — do not have a listed price increase.

This is why reviewing your specific subscription mix is far more effective than assuming every licence in your environment will change in the same way.

What this means for Australian businesses

Microsoft has announced pricing changes across its services, with Australian pricing determined locally and likely to vary by product and licensing arrangement, so businesses should factor potential increases into ongoing planning.

Rather than focusing solely on headline figures, Australian businesses should take this opportunity to review how Microsoft 365 is currently being used and consider:

  • Are the right users on the right plans?
  • Are there licences still assigned to former staff or unused accounts?
  • Are users paying for features they no longer need?
  • Does the current license mix still match how the business operates today?

Even modest per‑user increases can add up over a 12‑month term, especially for organisations with larger teams or multiple Microsoft services in place.

What businesses should review now

Before your next Microsoft 365 renewal, it’s worth reviewing a few key areas:

1. Renewal timing

If your renewal falls on or after 1 July 2026, the updated pricing is likely to apply at that point. Existing customers remain on current pricing until renewal.

2. Licence mix

Over time, many businesses accumulate licences that no longer align with actual job roles or responsibilities. Some users may need advanced plans, while others may only require basic access.

3. Unused or underused licences

It’s common to find licences assigned to former employees, shared devices, or users who no longer need premium features. Cleaning these up before renewal can help offset potential price increases.

4. Plan suitability

Microsoft 365 continues to evolve. While new features may add value, more features don’t automatically mean every user should remain on the same plan long term.

5. Budget planning

Reviewing your subscriptions early gives you time to plan budgets sensibly and make informed decisions rather than reacting under renewal pressure.

A practical example

16.png

For a business with 20 users on Microsoft 365 Business Standard, partner guidance indicates that this plan will be subject to a 12% price increase from 1 July 2026 (subject to change).

While this increase may appear modest on a per‑user basis, the cumulative annual impact can be material, particularly for organisations using multiple Microsoft subscriptions.

For this reason, a licence review prior to renewal is recommended. Reviewing licence allocations helps ensure subscriptions remain aligned to actual usage and business needs before updated pricing is applied.
